Retreat Terms & Conditions
Contract Agreement: By signing your invoice and making your initial deposit, you are entering into a legal, binding, contractual agreement with PICS MIXER. Your payment is an acknowledgment that you have read and agree to the terms & conditions, accept accountability for your financial responsibility, and agree to make sure that the group you represent follows all rules and guidelines, and agree to allow PICS MIXER to correct any errors in the invoice.
reserves the right to refuse service to anyone whose goals and philosophies are not compatible with our mission. User groups shall comply with all applicable laws, codes, and regulations.
ASSUMPTION OF RISK. I understand and am aware that my participation in the Retreat involves risks. These risks may lead to tangible or intangible harm, and I agree that they may result not only from my own actions but also from the actions of others. With the knowledge and understanding of these risks, I choose, of my own will and volition, to participate in the Retreat. I am also aware that there are risks that I may not have considered, yet I waive my right to any claims that may occur from these unconsidered risks and I choose, of my own will and volition, to participate in the Retreat.
CANCELLATION / REFUND We understand that unexpected events can arise that can affect your plans. If you cancel more than 60 days before the retreat start date, you may request a full refund minus a cancellation fee of $50. Cancelations requested less than 60 days before the date are entitled to only a partial refund of 50% of the total cost of the retreat, or credit for the next retreat. Canceling after the 45 days period of retreat, payments become non-refundable. No exceptions. It is your responsibility to ensure your availability for the day. Cancellation due to an illness or COVID positive test is NOT an exception for a refund; however, you may transfer or sell your space yourself to another person who can attend the retreat. Please know that while I understand circumstances may arise, all expenses involving the organization and lodging of this travel have been paid and become non-refundable to me at this point.
Deposit & Fee Schedule: Your bill must be paid in full within 15 days of departure. Early bird discounts apply to reservations made prior to September 25, 2022.
Registration can be made with a 50% down payment and must be covered no later than Sept 30 to retain the discounted rate. After this date, the cost is $650 per person.
If you choose to pay by credit card, a 4% will be added to cover bank fees.
COVID: Last-minute cancelations due to covid are nonrefundable but the member is allowed to send someone else in their place, or re-sell the ticket at their own expense. Further bans for Covid have been lifted.
Sleeping quarters: If for some reason the facility should become unavailable, we reserve the right to make a suitable substitution. PICS MIXER reserves the right to assign spaces and to exempt spaces from use. By signing this agreement, participants acknowledge that sleeping spaces are shared, whether a single bed in a shared room or a queen/king-size shared bed for two. During the check-in process, the group leader will inspect the facilities along with the retreat host/hostess. During this walk, the condition of the facility will be noted. Upon departure, the retreat host/hostess and the group leader will inspect the facilities. Retreat individuals will be held liable for any damage that occurs to the facility during their stay.
Food Service If the user group brings any meals, food, snacks, or beverages on the grounds, the user assumes all responsibility for the storage, service, and liability. All food service areas are the responsibility of the group to clean.
Welcome dinner will be served as part of the retreat as well as two breakfasts per person. Any other meal or food consumption at a restaurant will be the responsibility of each individual. If you have any allergies or dietary conditions, you must inform the organizer at least two weeks prior to the retreat, this will allow us to make the special purchases needed to create a customized meal for our guests who request this service. Additional charges may be made if such accommodations require unique products or services.
Transportation: It is the responsibility of each individual to arrive at the retreat by their own means of transportation. The cost of the event does not cover the fee for transportation. The organizer is not responsible to drive anyone to the final destination. Arrangements can be made amongst all participants to share rides to the destination on their own terms.
Insurance: Guests assume all responsibility for insurance in case of an accident, hospitalization, or death.
Facility cleanliness: this is the responsibility of the group during their stay. Please leave the facility in a reasonable condition of cleanliness. The user group will be expected to participate in the house chores to maintain a clean space during the stay.
Smoke-free/illegal substances: smoke-free environments. No smoking is allowed in facilities or on the premises. The evidence (physical evidence or the lingering smell of smoke) of smoking in our facility will result in an additional $250 cleaning fee added to the final billing. Violations of our strictly prohibited list will result in an additional fee of $100 added to the final bill. Evidence found on site after the group has left the grounds will constitute a violation and a fee will be assessed.
Guns or any other type of weapon Fireworks and Explosives are strictly prohibited on-premises of this retreat
Pets are not allowed on-premises.
